Travel Ass Terms and Conditions
1. General Conditions
1.1 Passengers and guests are carried subject to these Terms & Conditions, which form part of every booking made with Travel Ass Africa.
1.2 Information provided in Travel Ass Africa quotations, itineraries, booking confirmations, and rate documents forms an integral part of these Terms & Conditions.
1.3 By making a booking with Travel Ass Africa, clients and agents acknowledge that they have read, understood, and agreed to these Terms & Conditions without exception.

2. Booking Confirmations
2.1 Bookings are non-transferable and valid only for the named passenger(s), dates, and services specified on the confirmation.
2.2 Clients and agents are responsible for verifying the accuracy of all booking confirmations upon receipt.
2.3 Any changes to confirmed services must be requested in writing and are subject to availability.
2.4 All bookings are subject to availability. Travel Ass Africa reserves the right to decline any booking should it be unable to provide the requested service.
2.5 Bookings, amendments, and cancellations are only valid once confirmed in writing by Travel Ass Africa.

3. Amendments
3.1 Amendment requests must be submitted in writing.
3.2 Amendments requested within 24 hours of departure or service commencement may not be accommodated.
3.3 All amendments remain subject to availability and may incur additional charges.
3.4 Agent-booked reservations may only be amended through the originating agent.

4. Rates, Deposits, Payments & Cancellations
4.1 All rates are quoted in the applicable currency and are subject to change without prior notice until the required deposit has been received.
4.2 A deposit equal to 40% of the total booking value is required to confirm and secure all accommodation, transport, activity, permit, and other travel reservations.
4.3 The 40% deposit contributes towards the professional planning, itinerary design, reservation management, supplier commitments, and administrative services provided by Travel Ass Africa. In the event of cancellation, any refund of the deposit shall be determined in accordance with the Travel Ass Africa Deposit Refund Policy, which forms part of these Terms & Conditions.
4.4 Full payment must be received prior to departure unless otherwise agreed in writing.
4.5 Failure to make payment by the due date may result in the automatic cancellation of the booking without notice.
Total Booking Value Cancellation Fees
In addition to the provisions contained within the Travel Ass Africa Deposit Refund Policy, the following cancellation fees apply to the total booking value:

More than 90 days before departure: Cancellation charges will be limited to the portion of the 40% deposit retained in accordance with the Travel Ass Africa Deposit Refund Policy.

90–61 days before departure: 75% of the total booking value.

60–31 days before departure: 90% of the total booking value.

30 days or less before departure, or in the event of a no-show: 100% of the total booking value.
4.6 No-shows will be charged 100% of the total booking value.
4.7 Travel Ass Africa reserves the right to review cancellations on a case-by-case basis where exceptional circumstances exist. Any goodwill refund remains entirely at the discretion of Travel Ass Africa and is subject to supplier policies and unrecoverable costs.

5. Departure Times & Scheduling
5.1 Guests are responsible for familiarizing themselves with departure times, collection points, itineraries, and service information provided in their confirmation documentation.
5.2 Guests must arrive at the designated collection point at least 10 minutes prior to departure unless otherwise specified.
5.3 Travel Ass Africa will make every reasonable effort to advise guests of delays or schedule changes.
5.4 Travel Ass Africa reserves the right to alter schedules, routes, or itineraries where operational circumstances require.
5.5 Travel Ass Africa shall not be held liable for expenses incurred as a result of circumstances beyond its reasonable control, including but not limited to weather conditions, traffic delays, airline schedule changes, road closures, strikes, or force majeure events.
5.6 Where flight delays occur, Travel Ass Africa will make reasonable efforts to accommodate revised arrival times, subject to operational availability.

6. Tour Itineraries
6.1 All itineraries are intended as guidelines and may be adjusted due to weather conditions, operational requirements, guest preferences, or guide discretion.
6.2 Tours may include visits to public attractions, reserves, restaurants, and facilities shared with other visitors.
6.3 Additional activities or itinerary changes requested by guests must be arranged in advance and are subject to availability and additional charges.

7. Passenger Luggage
7.1 Unless otherwise agreed, each passenger may bring one suitcase (maximum dimensions 80cm x 60cm x 30cm, maximum weight 30kg) and one piece of hand luggage (maximum 7kg).
7.2 Additional luggage, sporting equipment, or oversized items must be declared and approved in writing before travel.
7.3 Travel Ass Africa reserves the right to refuse transportation of luggage that exceeds permitted dimensions or weight restrictions.
7.4 Guests may be required to assist with identifying and loading oversized luggage items.
7.5 All luggage and personal belongings remain the responsibility of the guest at all times.
7.6 Travel Ass Africa accepts no liability for loss, theft, or damage to luggage or personal belongings.
7.7 Guests are strongly advised to obtain comprehensive travel insurance covering luggage, delays, medical emergencies, cancellations, and missed connections.

8. General Policies
8.1 Smoking, vaping, and the use of electronic smoking devices are prohibited in all vehicles.
8.2 Children under the age of 12 may not travel unaccompanied.
8.3 Where legally required, appropriate child restraint systems must be supplied and fitted by the parent or guardian unless otherwise agreed.
8.4 Alcohol consumption is prohibited in vehicles unless expressly authorized.
8.5 Travel Ass Africa reserves the right to refuse transport or remove any guest whose behavior is disruptive, unsafe, intoxicated, abusive, or likely to affect the safety or comfort of others.
8.6 Pets are not permitted unless prior written approval has been granted. Certified service animals may be accommodated.
8.7 Unless otherwise specified, rates include transportation, guide or driver services, fuel, toll fees, and itinerary inclusions detailed in the quotation.
8.8 Rates exclude personal expenses, optional activities, travel insurance, gratuities, visas, vaccinations, accommodation unless specified, and any items not expressly included in the quotation.

9. Lost Property
9.1 Guests are responsible for ensuring that all personal belongings are removed from vehicles and tour locations at the end of services.
9.2 Lost property recovered by Travel Ass Africa will be stored where practical for a maximum period of six months.
9.3 Collection or courier arrangements for lost items remain the responsibility and expense of the guest.
9.4 Unclaimed items may be donated, recycled, or disposed of after six months.

10. Liability & Other Provisions
10.1 Travel Ass Africa will make every reasonable effort to provide services as booked but shall not be liable for delays, disruptions, losses, damages, or expenses arising from circumstances beyond its control.
10.2 Travel Ass Africa shall not be responsible for losses resulting from missed flights, transfers, tours, accommodation bookings, or onward travel arrangements.
10.3 Travel Ass Africa reserves the right to refuse service to any person where deemed necessary for safety, operational, or legal reasons.
10.4 Participation in tours, transfers, and activities is undertaken entirely at the guest's own risk.
10.5 By signing any booking form, waiver, booking confirmation, or other Travel Ass Africa document, the client confirms that they have read, understood, and accepted these Terms & Conditions and the Travel Ass Africa Deposit Refund Policy, both of which form part of the booking agreement.
